This guide provides all relevant information for exhibitors at CONEXPO-CON/AGG 2026. It includes contact details, schedules, and policy reminders—providing the support you need for a successful exhibition. Installation & Dismantling

Details on the marshalling yard, cart service, target move-in and move-out, I&D wristbands, and other procedures. Please review these guidelines to ensure a smooth and efficient experience during move-in and move-out.

Available at no additional cost, the Marshalling Yard is used for the staging of trucks delivering to and picking up from event site facilities. All your shipments, if shipping direct to show, need to go to the Marshaling Yard first, including large equipment.

  • All carriers delivering to or picking up from the facility must check in at the yard

  • Bill of lading must note the materials delivered

  • Drivers are assigned a number and dispatched to the dock at the LVCC or Festival

  • Drivers should expect a wait

  • Certified weight tickets are required

Marshalling Yard Operating Hours

Inbound

Your Target Move-In schedule notes that time your carrier is to check in at the Marshalling Yard to be placed in line (not time your carrier will be unloaded). Drivers must check in by 2:00 p.m., starting on the date of your move-in.

Outbound

Your Target Move-Out schedule notes the time your carrier is to check in at the Marshalling Yard only (not the time when your carrier will be loaded). Actual loading may take several hours. Drivers must check in no later than 2:00 p.m. starting on the date of your assigned move-out.

Access to the marshalling yard is included in the Exhibitor Package Plan.

This show is targeted for both move-in and move-out. Find your target dates here.

If your materials are being delivered to show-site, they should arrive by your target move-in date and time in order to avoid additional fees and surcharges. Materials sent to the warehouse are delivered to your booth by your target date.

Privately Owned Vehicles (POVs) are defined as cars, pick-up trucks, vans, and other trucks primarily designed for passenger use, not cargo or freight. If you're arriving in a POV and require access to unload your exhibit materials, you are eligible to use the provided Cart Service.

Cart service is when workers equipped with a flat cart scooter will assist exhibitors with unloading. Each cart will handle a load approximately 3' wide x 4' long x 3' high. Freight must not exceed 300 lbs.

To receive this service, proceed directly to the facility and check in at the designated Cart Service Check-in area at the Bronze Lot location.

NEW for CONEXPO-CON/AGG 2026, all exhibitor staff members responsible for booth set-up and teardown must wear wristbands to gain access to halls and lots. These wristbands are the only credentials that will allow entry to the show floor on Installation and Dismantling (I&D) days.

This new policy enhances event security by ensuring only authorized personnel are present during set-up and breakdown periods. Additionally, using wristbands instead of traditional badges streamlines access control, making the process quicker and more efficient for crews who only need entry during I&D.

Exhibitor Show Badges = Access During Show Hours

These exhibitor badges will not grant access on installation and dismantle days. If some of your show staff are planning to be there at set-up and breakdown as well as show days, be sure to include them in wristband count.

Installation & Dismantling Wristbands = Access During Set-Up and Breakdown

These wristbands will not grant access to the show floor during show hours. The wristbands are free, but for safety reasons, they need to be reserved and picked up by pre-registered personnel.

Who Needs a I&D Wristband?

Essentially, anyone who needs access to the show floor during installation and dismantle days needs a wristband, including but not limited to:

  • Installation crews

  • Dismantle crews

  • Exhibit show staff who are also working during I&D

  • Contractors and labor teams

  • Venue support staff

  • Exhibitor Appointed Contractors (EACs have been contacted separately about their process for obtaining wristbands)

How to Reserve Wristbands

You may reserve as many wristbands as you need (unlimited); however, only pre-approved individuals (up to 10) can pick them up on their team’s behalf. Wristbands will only be distributed to personnel on the pre-approved list that will be provided to security. The registration form is now closed, if you missed the date to submit your list of pick-up contacts, simply visit any of the I&D check-in-desks to meet with security and pick up wristbands for your team.

Pre-approved pick-up contacts will need to present a photo ID to security at one of the check-in desks.

Pick-up Procedure

  • At the check-in desk, pick-up contacts must present a valid government-issued photo ID.

  • Security will verify photo IDs against the list, check company names, and booth numbers.

  • Security will provide the requested amount for set up during the installation days and will later provide the requested amount for teardown during dismantle days.

  • Pick-up contacts distribute wristbands to their team to ensure they have the appropriate credentials.

Obtaining Additional Wristbands

If your team’s wristbands are lost, damaged, or you need additional ones, visit any check-in desk (only open during Installation and Dismantle hours).

Installation wristbands can be picked up during all installation hours, and Dismantling wristbands during all dismantling hours.

All crates must be labeled and ready for pickup by 5:00 p.m. Sunday, March 1, in all halls and lots. Crates not labeled and ready for pickup will be removed regardless of status.

All cardboard, fiber cases and access storage items must be labeled and ready for pickup by 1:00 p.m. Monday, March 2, in all halls in lots.

All aisles must be 100% clean of product, ladders, gang boxes and any other items that may impede the final aisle cleanup and installation of aisle carpet by 5:00 p.m. Monday, March 2.

Labor and equipment charges will apply if this policy is not met.

Empty Container Labels

Label your crates and boxes with the “EMPTY” Container Labels. These labels are available exclusively at Freeman Service Desks (see below for location). Be sure to pick up as many labels as needed. Your booth cost covers the return of empty crates. You may also purchase Priority Empty Container Return Labels ($160) for faster return of crates (limited quantity).

Reminder: During installation, place any unpacking trash—like shrink wrap, bubble wrap, or cardboard — in the aisles. The cleaning team will regularly collect it during set-up.

Show Management will arrange for general cleaning in the common areas of the exhibit hall and outdoor lots; which will include daily vacuuming/sweeping the carpet/floor and emptying wastebaskets before the opening of each Exhibition day. Trash removal during dismantling period is also included.

For those who are planning catered events or other activations that result in excessive trash, please book Porter Services through Freeman (available in the Exhibitor Service Manual).

Porter Service includes emptying of your booth's wastebaskets and monitoring of your exhibit area at two-hour intervals during show hours.

Pressure washing is not allowed in booths. Companies that are hired to provide detailing and pressure washing will be staged in the marshalling yard. Below is the preferred vendor for pressure washing and equipment detailing services.

To organize your outbound loading, you must fill out a Material Handling Agreement (MHA). We suggest submitting this online in advance of the show, but you will also be able to submit it while at the show before you begin dismantling.

If you have multiple destinations, please fill out the MHA for each destination.

Please refer to the Target Move-Out Floor Plans for your assigned target move-out date and time. The target move-out schedule is for machinery and display materials only and notes the time your carrier is to check in at the Marshalling Yard to be placed in line to be loaded at the show facility. The schedule does not indicate when your carrier will be loaded.

Please note, this is a lengthy process that could take several hours.

Included with your booth: Empty crates will be returned to your booth when dismantling begins on March 7.

Please note, crate return is a lengthy process and can take between 8–12 hours. As soon as the show closes, Freeman will start delivering your empty crates to your booth.

If you need fuel for your equipment, and haven’t placed an order in advance, you can order on-site through Freeman at their Service Desk.

Unleaded fuel, diesel fuel, and diesel exhaust fluid will be provided throughout the day via the outdoor fuel cart. Fuel will be brought to the booth, but the Exhibitor must put the fuel into the equipment.

  • Price per gallon (10 gallon minimum): $9.55 per gallon

  • Total fuel usage will be calculated at the conclusion of the show and appear on your invoice

Event Security

Every reasonable precaution will be taken to protect property during the installation, Exhibition, and dismantling periods. However, neither Show Management, service contractors nor LVCVA and LVFG are responsible for the safety of the property of exhibitors from theft, damage by fire, accident, vandalism, or other causes. Show Management recommends that exhibitors make special arrangements with the Official Security Contractor of CONEXPO-CON/AGG 2026 for additional protection of their exhibit spaces. If you need added security, contact Special Operations Associates, Inc at 702-386-8065 or email soa@soasecurity.com.

  • South Hall, 1st floor, west side lobby (opens February 23)

  • Platinum lot, northeast side of lot across from registration, next to concessions (opens February 13)

Evacuation of CONEXPO-CON/AGG

If an emergency requires a partial or full evacuation, security and Show Management staff will direct people from the shows to the bus service pick-up points located at:

  • Diamond Lot Shuttle Bus Area

  • Blue Lot Shuttle Bus Area

  • Festival Grounds Transportation Area

  • Platinum Lot Shuttle Bus Area

CMAC, the official bus shuttle service provider, will implement its transportation plan to evacuate all people from these points to off-site areas, and then back to their hotels.

The Las Vegas Convention Center has multiple Mother’s Room locations available for the privacy and convenience of working mothers at CONEXPO-CON/AGG.

Navigating the Show

Essential information on parking, transportation options, badge pick-up locations, concessions, and tools to help you navigate the show campus.

Exhibitor badges give you access to the show during show hours, both on and off the floor. You can pick these up at a registration desk.

Badge Pick-Up Locations & Hours

If you have an appointment to pick up your exhibitor badges, those are available for pick-up at the on-site registration locations from Wednesday, February 25 – Monday, March 2.

Group badge pick-up is only available to exhibitors who have purchased 10 or more badges. Once you have 10 people registered in your group, you can schedule your appointment online in the registration portal. Walk-ups will be accommodated on a first come, first served basis with appointments taking priority.

Shuttles

During show days, transportation around the show grounds (LVCC and LVFG) will be available through free express shuttles. Show badges required to ride.

Hotel Shuttles are available only on show dates.Booking your room through the show hotel block gives you access to free shuttle service, helping you save time and money on travel. Shuttle service is available between the Las Vegas Convention Center, the Festival Grounds, and all official show hotels that are not within walking distance.

Monorail, Loop, Taxis, Rideshare

Besides shuttles, there are other transportation options near the Las Vegas Convention Center and throughout Las Vegas.

The Las Vegas Monorail provides seven stations serving multiple area hotels. The Boingo StationWestgate Station, andSahara Station offer convenient access to differen tareas of the Las Vegas Convention Center and Festival Grounds.

Trains operate daily, and are available before, during and after show days.Tickets are required, and discounted rates are available for show guests through our partnership with Las Vegas.

The Vegas Loop will only be available during show days. The Loop is an underground tunnel that uses Tesla vehicles to transport passengers around the Convention Center and to a few connecting hotels.

Show Reminders

Featuring a few important reminders for the show, with some Rules and Regulations to observe, and an overview of your Exhibitor Package Plan.

The cost of exhibit space includes the Exhibitor Material Handling Package Plan. These services reduce the cost to exhibit and add value to each exhibitor’s investment:

  • Check-in and access to the Marshalling Yard

  • Advance Warehouse Services

  • Unloading and reloading of all shipments without any additional fees for overtime or special handling

  • Cart service for personally owned vehicles during specified days/times

  • Small package service (<200lbs) with no overtime or off-target fees

  • Delivery of machinery and crates to exhibit space(s) from the marshalling area(s) and pick-up of the same machinery and crates at the close of show

  • Removal of all cleating and blocking on inbound shipments

  • Handling of inbound and outbound shipments of exhibit materials to the LVCC, lots, or any other grounds used

  • Spotting crew for mobile/rolling equipment (Planking requirements vary based on the type and weight of equipment. Additional charges may apply)

  • Spotting of exhibitor’s machinery or products for the initial installation only, as the equipment is delivered to the exhibitor’s space (provided an exhibitor’s representative is present during the initial placement)

  • Exhibit crate removal, storage and return of the crates

  • Trash removal during dismantling period

  • Daily vacuuming/sweeping the carpet/floor and emptying wastebaskets before the opening of each show day

  • Pipe & Drape (only for specific booth locations and sizes, check the rules and regulations)

  • Music licensing from ASCAP and BMI

  • Certificate of Insurance (COI)

  • Standard company listing in online exhibitor directory

Not included in your exhibit space:

  • Furnishings and carpet

  • Lead retrieval

  • Electrical or other utilities

  • Freight to and from your location

  • Catering

  • Internet services

  • Registration Badges

Las Vegas Convention Center

  • Electric Vehicles and electric vehicle batteries are not allowed to be charged indoors.

  • Electric and hybrid vehicles shall have their operating batteries disconnected whenever possible.

  • Any Electric Vehicles brought into the building or on the grounds must have prior approval.

  • Specifications of the battery and vehicle were asked to be submitted to Show Management prior to November 3, 2025.

  • All EV charging must be done outside in a designated safe area that has been approved by Fire Prevention and Safety in coordination with Show Management.

Festival Grounds

  • Any Electric Vehicles brought on the grounds must have prior approval. Complete and submit the Festival Grounds Electric Vehicle Notification Form.

  • Specifications of the battery and vehicle were asked to be submitted to Show Management prior to November 3, 2025.

Under no circumstances will children under 18 years of age be permitted onsite during the installation and dismantling periods.

During Exposition hours, under 18 will be allowed in the Exhibition only under the supervision of an adult who is registered to attend. All children must be registered to attend and wear a badge for identification and emergency purposes.
