booth space priority period

Exhibitors who submit applications and deposits prior to August 15, 2018 will be a part of the Priority Assignment Process, taking place in late October 2018. The first assignment of exhibit space priority will be based on the priority formula and the designated product concentration areas.

Exhibitors who have their application by August 15th, 2018 will be assigned by priority number. Applications received after August 15, 2018 will be assigned after all priority round exhibitors have been assigned on a first-come, first-serve basis by Show Management.

No applicant will be allowed to select an exhibit space unless the application is submitted and payment has been received based on the following schedule:

  1. A deposit of 25% of the total booth cost is due at the time of application.
  2. Applications received on or after February 28, 2019, but prior to September 30, 2019 must be accompanied by 50% of the total cost of exhibit space.
  3. Applications received on or after September 30, 2019 must be accompanied by full payment of exhibit space.

Exhibition Management will make every attempt to accommodate every request for space, including the preferred product concentration area and stand dimensions. Exhibition Management reserves the right to reassign exhibitors at any time during the show planning process. In the event that all of the available space has been assigned, a waiting list for space will be kept. When an opening becomes available, exhibit space will be assigned on the basis of the date the application was received.

Included in a booth space:

  • Material Handling including:
    • Unloading and reloading of all crated shipments from all trucks.
    • Delivery of machinery and crates to exhibit stands from marshaling area(s) and pick up of same machinery and crates at the close of the Exhibition.
    • Removal of all cleating and blocking on inbound shipments, including materials where required.
    • Handling of inbound and outbound shipments of exhibit materials to the convention center or any other exhibit areas used for the Exhibition.
    • Operators for self-propelled equipment and planking where required.
    • Spotting of exhibitor’s machinery or products for the initial installation only as the equipment is delivered to the exhibitor’s stand, and provided an exhibitor representative is present during the initial placement.
    • Exhibit crate removal, storage and return to exhibit stand at the close of the Exhibition.
  • General cleaning of all exhibits including the vacuuming or sweeping of carpet/floor, emptying of wastebaskets before the opening of each Exhibition day.
  • Up to 2,000 Direct Mail Postcards (includes print and postage) to your Customer List
  • Unlimited Customizable Emails to Your Customers
  • Access to sending Direct mail postcards to attendees in your chosen demographic
  • Basic searchable online directory listing
  • New Products and Technologies listing (most visited attendee page)
  • Perimeter Security of Halls
  • Exhibitor Education access to multiple webinars

Not included in your exhibit space cost:

  • Exhibitor registration badges (these must be purchased separately)
  • Furnishings or carpet
  • Lead Retrieval
  • Electrical or other Utilities
  • Catering
  • Internet Services
  • Sponsorship opportunities
  • Meeting/Function Space offered but has an additional fee

Priority Assignment Process

To be qualified to participate in the Priority Assignment Process the Exhibitor must meet the following criteria:
  • Submit their space application by August 15, 2018
  • Submit their 25% booth space deposit
  • Have 30 or more priority points. See the priority formula below for more details.
The Priority Assignment Process includes a period of time in which qualified exhibitors choose their booth space location on the floor plan. Qualifying Exhibitor appointed contacts who submitted their space application by August 15, 2018 are invited to participate in the Priority Assignment Period held October 22-26, 2018 via telephone. On Monday, October 8, 2018, all qualifying* exhibitors will get an email with their assignment date and time. Each exhibiting company will be limited to exhibit in the pre-determined product concentration areas based on information provided on their booth space application.

*Exhibitors with less than 30 priority points will not require a phone appointment. Show management will place these exhibiting companies in order of their priority number in the best available location. These booth locations will be communicated  by January 10, 2019.

Prior to the scheduled space assignment selection time, show management will share a live floor plan view that the contact can access by computer, phone or tablet at any time. The appointed contact will be able to view a live, up to date floor plan throughout the entire CONEXPO-CON/AGG Assignment Process/Period and leading up to the show. Each exhibitor will have a limited amount of time to select their booth space during their appointed time.

If you cannot make your appointed time, please be prepared to have someone represent your company to make a selection. If an appointment should be missed, show management will assign your booth for you based on best available location.

Priority Formula

The priority formula is used in a number of matters, including the assignment of exhibit space. It is as follows:

DEFINITION OF MEMBERSHIP NUMBER - Show Management chooses the company/division with the greatest number of membership years in AEM, NRMCA or NSSGA. An exhibitor must be a current member in good standing of AEM, NRMCA or NSSGA to have its years of membership used in calculating the membership number.
DEFINITION OF PAST PARTICIPATION NUMBER - Show Management uses the total square footage purchased by an exhibitor for CONEXPO-CON/AGG 2017. The total square footage cannot exceed the CONEXPO-CON/AGG 2017 maximum space sizes (40,000 square feet indoor, 50,000 square feet outdoor or 60,000 square feet combined). If a company acquired another company(ies), the parent company can use the newly acquired company(ies) but cannot exceed the maximum space sizes set from CONEXPO-CON/AGG 2017. If a parent company sells a company(ies), both companies must agree on how their 2017 total square footage will be divided among the now separate companies.

Exhibitors Not Participating in the Priority Period

The priority period closes on August 15, 2018. For all space applications received after this date, these assignments will take place beginning in February of 2019. Assignments will be on an ongoing basis and communicated biweekly via email to the exhibitor contact.
